Document Accessibility

Document Accessibility Services & PDF Remediation

Make your documents easier to read, navigate, and use. NWI Global’s document accessibility services help businesses, government agencies, and organizations prepare PDFs, forms, and multilingual materials for people with disabilities, including those who use screen readers and other assistive technology.

Whether you need one document remediated or an ongoing library updated, we help define the requirements and coordinate the work. Our approach combines accessibility expertise, human review, and language support around your content and audience.

Documents People Can Read, Navigate & Use

A document can look clear on screen yet be difficult to use with assistive technology. For example, a reader may encounter text in the wrong order, a table without meaningful headings, or a form field without a useful label.

Document remediation addresses the structure and content behind the page’s appearance. As a result, readers can more easily find information, understand relationships within the content, and complete the tasks your document supports.

Document Accessibility Support

From public notices and patient information to training materials and application forms, we help prepare documents for the people who need to use them.

  • PDF Remediation Services

Improve the underlying structure of your PDFs with appropriate tags, headings, lists, table structure, and reading order. We also address document titles, language settings, links, and text alternatives so important information is not conveyed through appearance alone.

  • Accessible PDF Forms

Help readers understand and complete your forms. Our work addresses meaningful field labels, instructions, keyboard navigation, and logical tab order. In addition, we review how form controls are identified and used with assistive technology.

  • Multilingual Document Accessibility

Make accessibility part of every language version. We address document and passage-level language settings, along with translated alternative text, document titles, and form-field descriptions. This helps preserve access to information beyond the visible translated text.

  • Complex & Technical Documents

Documents with detailed tables, charts, equations, footnotes, or multiple columns need additional attention. We review the relationships within the content and plan the remediation approach for technical, educational, and other complex materials, including STEM documents.

Human Review Beyond Automated Checks

Automated tools help identify accessibility issues, but a passing report does not tell the whole story. For example, software may detect that an image has alternative text without determining whether that description communicates the image’s purpose.

NWI Global combines manual review with tools such as Adobe Acrobat Pro and PDF Accessibility Checker (PAC). Our document accessibility testing considers structure, reading order, navigation, text alternatives, and relevant visual requirements, including color contrast.

We also confirm screen-reader testing and reporting requirements during project planning. The goal is a document that supports its intended readers, not simply a file with tags added.

WCAG, PDF/UA & Your Accessibility Requirements

Your project can be scoped to the Web Content Accessibility Guidelines (WCAG 2.2 Level AA) and the applicable PDF/UA standard for PDF files. Before work begins, we confirm the required standards, delivery formats, accessibility testing, and criteria for accepting the completed work.

For organizations addressing ADA, Section 508, or agency-specific accessibility requirements, document remediation can support a broader accessibility program. However, the applicable requirements depend on your organization, the content, and how the materials will be used.

For healthcare teams, accessible documents are part of a broader communication plan. Our guide to hospital communication and accessibility requirements explains how accessible patient information, translation, interpreting, and other communication support fit together.

Our Document Accessibility Process

  • 1. Review Your Files and Requirements

First, share your document types, languages, intended use, and deadline. We review the files and confirm accessibility targets, complexity, deliverables, and pricing. For larger collections, we can also discuss priorities and a phased approach.

  • 2. Remediate and Coordinate the Content

Next, our team addresses the agreed accessibility issues. When translation or formatting is also needed, we coordinate those steps before final accessibility checks. Questions about wording, image descriptions, or complex content are resolved with your team.

  • 3. Test and Deliver

Finally, we review the finished files against the agreed acceptance criteria and address identified issues. Deliverables may include remediated PDFs, accessible source files, and review documentation, depending on your project scope.

Tell us about confidentiality, privacy, or file-handling requirements before sharing sensitive materials. We will confirm the appropriate file-transfer and delivery arrangements during planning.

Coordinate Translation, Formatting & Accessibility

Translation, visual formatting, and accessibility address different needs. A well-designed document is not automatically accessible, and an accessible English file does not establish the accessibility of a translated version.

Our Translation & Localization Services and Multilingual Desktop Publishing & Document Production can be coordinated with remediation in one workflow. This helps your team manage language accuracy, page layout, and accessibility without treating them as unrelated projects.

For recurring materials, we can also discuss source-file improvements and review steps that support future updates.

Document accessibility is also available for English-language materials, even when you do not need translation.

Document Accessibility Services Across Industries

Your documents help people access services, make decisions, and participate in programs. For government agencies, that may mean public notices, benefits information, and application forms. For healthcare organizations, it can include patient forms, educational guides, and follow-up instructions.

Meanwhile, schools, colleges, and universities may need accessible enrollment documents and course materials. Similarly, nonprofits may need accessible program applications, resource guides, and reports. We coordinate document accessibility around your audience, languages, and intended use.

What Affects the Cost of Document Accessibility?

Document accessibility and PDF remediation are quoted based on the files and work required. Your estimate depends on page count, file condition, layout complexity, the number of language versions, and accessibility testing requirements.

Scanned pages, complex tables, fillable forms, translation, or source-file reconstruction may require additional work. Before you approve your project, we review the scope, deliverables, turnaround time, and applicable pricing with you.

For recurring updates or larger document collections, share your expected volume and deadlines so we can discuss priorities and a phased delivery schedule that fits your needs.
